Position Title: Administrative Assistant
FLSA Status: Part-Time, Hourly, Non-Exempt
Location: SETI Institute (Mountain View, California) & Remote

Position Summary 

The SETI Institute is seeking a part-time (25%) administrative assistant for the NASA-funded Astronomy Activation Ambassadors (AAA) teacher professional development program. The AAA program’s goal is to measurably enhance student STEM achievement and engagement through training of middle school, high school, and community college science instructors. The team member selected for this position will support AAA program efforts through a variety of administrative tasks including communication with teacher participants, data collection and reporting, and assistance with coordination of webinars, workshops, and other events. The successful applicant must be able to follow directions and prioritize multiple simultaneous tasks assigned by senior AAA staff, and actively participate in weekly group meetings.

Some on-site work at the SETI Institute in Mountain View, California will be required. 

Salary Range for this position: 

 $27 - $33 / hour

 Responsibilities

  • Communicating via e-mail with AAA program teacher participants.
  • Hosting & managing online teacher training webinars (several per month).
  • Maintaining and managing Excel spreadsheets tracking AAA teacher participation, including documenting attendance at webinars and other events.
  • Arranging logistics (meeting rooms, lodging, travel) for teacher workshops (several per year) in coordination with program management.
  • Frequent communication about ongoing tasks with project staff in person or via telephone and e-mail as needed, including active participation in AAA program staff meetings.

 Qualifications

  • Degree / Years of experience: Bachelor’s degree plus at least 2 years of relevant experience or Associate’s degree plus at least 4 years of relevant experience.
  • Excellent written and verbal communications skills.
  • Experience working in a team environment: Must be able to work in collaboration with others and follow directions. 
  • Must be able to interact with people at all levels with professionalism within and outside the Institute.
  • Must have excellent planning and organizational skills and be flexible when priorities change.
  • Interest in education and/or astronomy a plus.
  • Comfort with remote teamwork tools including Zoom, Microsoft Teams, and Webex. 
  • Proficiency with web-based tools including browsers, Google Drive forms, Dropbox, a must.
  • Proficiency with standard office software, including Outlook, Word, Excel, Power Point, a must.

Physical Requirements

  • Constantly perform desk-based computer tasks.
  • Sort, file paperwork, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh up to 25 lbs.
  • Stand, walk, reach, or work above shoulders and use a telephone.
